Privacy Policy

1. Introduction

This privacy policy (the "Policy") describes how RG Technologies Inc. ("we", "our" or the "Company"), operator of the Condosuite platform (the "Service"), collects, uses, retains and protects the personal information of Service users.

This Policy applies to anyone who uses Condosuite, including condominium board members, managers and administrative staff of condominium syndicates (collectively, the "Users").

By using the Service, you consent to the practices described in this Policy.

2. Definitions

  • Personal information: any information that relates to a natural person and allows that person to be identified, directly or indirectly.
  • User: any natural person who accesses the Service, including condominium directors, managers or authorized employees of a client syndicate.
  • Syndicate / Condominium: the client entity (the condominium syndicate) on whose behalf the Service is used.
  • Processor: any third party to whom we entrust the processing of personal information on our behalf.

3. Information we collect

We collect the following categories of information:

a) Identity and contact information Name, email address, phone number, role within the syndicate (director, manager, etc.), and the address of the condominium unit where applicable.

b) Financial information Information required to process condominium fees and pre-authorized debits (PAD), including banking information transmitted to our payment processors, as well as the history of transactions carried out through the Service.

c) Usage and connection information Connection logs, IP address, browser and device type, pages viewed, timestamps, and other technical data generated by use of the Service.

We do not collect sensitive information beyond the above (e.g. health information, criminal records).

4. Purposes of collection

We use the information collected in order to:

  • provide, operate and maintain the Service (account management, accounting, communications);
  • process condominium fees, pre-authorized debits and payments to suppliers;
  • authenticate Users and secure access to the Service;
  • respond to support requests;
  • comply with our legal and regulatory obligations;
  • improve the Service and detect security incidents.

We do not sell Users' personal information and do not use it for third-party advertising purposes.

5. Consent

By creating an account or using the Service, the User consents to the collection and use of their personal information for the purposes described in this Policy. The User may withdraw their consent at any time, subject to the limits imposed by the nature of the Service (for example, certain financial information must be retained for legal or accounting reasons).

6. Sharing with third parties

We share certain information with trusted processors, only to the extent necessary to provide the Service:

  • Cloud infrastructure providers (data hosting);
  • Payment processors for handling pre-authorized debits and payments to suppliers.

These processors are bound by contractual agreements requiring a level of protection of personal information equivalent to that provided for in this Policy and by applicable law. We do not share personal information for any other purpose without the User's consent, unless required by law.

7. Data hosting and location

Service data is hosted on the Amazon Web Services (AWS) cloud infrastructure, in the Canada (Montreal) region. To the extent that certain payment processors may handle information outside Quebec, we ensure, in accordance with Loi 25, that a privacy impact assessment is carried out and that an adequate level of protection is maintained before any transfer outside Quebec.

8. Data retention

We retain personal information for as long as necessary for the purposes described in this Policy, or as required by applicable legal requirements (particularly accounting and tax requirements). When the information is no longer needed, it is securely destroyed, anonymized or de-identified.

9. Information security

We implement reasonable technical and organizational security measures to protect personal information against loss, theft, unauthorized access, disclosure, copying, use or modification, including: data encryption, role-based access control, and access monitoring.

As no system is infallible, we cannot guarantee absolute security, but we are committed to maintaining practices consistent with industry standards.

10. Users' rights

In accordance with Loi 25, every User has the right to:

  • access the personal information we hold about them;
  • have inaccurate, incomplete or ambiguous information corrected;
  • withdraw their consent to the collection or use of their information, subject to legal limits;
  • request that the dissemination of personal information cease, or that a hyperlink giving access to it be de-indexed, where applicable;
  • obtain, in certain cases, the portability of their information in a structured, commonly used technological format.

11. Cookies and tracking technologies

The Service may use cookies and similar technologies to ensure its proper operation (authentication, preferences) and to analyze use of the Service. The User may configure their browser to refuse certain cookies, which could limit some features of the Service.

12. Privacy officer

In accordance with Loi 25, the person exercising the highest authority within RG Technologies Inc. assumes, by default, the role of person in charge of the protection of personal information, which may be delegated to another person. Any question or complaint regarding the protection of personal information may be addressed to that person via the contact details below.

13. Privacy incidents

In the event of a privacy incident presenting a serious risk of harm, we will take the necessary measures to limit the consequences of the incident, will notify the persons concerned as well as the Commission d'accès à l'information (CAI), in accordance with the requirements of Loi 25, and will keep a record of the incidents that have occurred.

14. Changes to this Policy

We may amend this Policy from time to time. Any significant change will be communicated to Users through the Service or by email. The date of the last update appears at the top of this document.
